Job Title: Accounts Assistant ( 1 Position)

Duty Station: Pader Sub Program

Essential Job functions:

    Maintains up to date accounting records for all financial transactions and an orderly filing system for all accounts and finance correspondence;
    Makes a proper record of cash received and paid out through the evidence of receipts and payment vouchers which are duly authorized by the Finance Manager or Sub Program  Accountant and Sub Program  Manager;
    Prepares cash payment batches daily, and ensures that vouchers are presented to the Finance Manager, Chief Accountant/Internal Auditor, or the Sub Program  Accountant for endorsement after ascertaining that the claims are correct, with all properly authorized supporting documents;
    Maintains a cash book/cheque register for only one bank account, and produces a monthly reconciliation statement for each account, ensuring the cashbook balance agrees with the bank statement and ACCPAC;
    Prepares bank/cash reconciliations;
    Writes cheques and ensures they are duly signed/endorsed prior to payment, while maintaining an accurate cheque register of cheque stubs, current bank balances and records;
    Ensuring that the daily cash balance form is verified and endorsed by the Finance Manager, Internal Auditor, or Sub Program  Accountant;
    Handing over the cash float to the Finance Manager or the Project Accountant for safe custody.
    Prepares and processes journal vouchers to post the bank and cash transactions to ACCPAC;
    Produces a monthly journal to charge staff accounts for personal use of phones and vehicles;
    Compiles a monthly summary/analysis of staff timesheets to allow Sub Program  Accountant  produce the monthly journal of staff recharges to projects;
    Perform any other relevant duties that may be assigned from time to time by the Finance Manager or Accountant (Kampala office) or the Sub Program Manager or the Sub Program Accountant or his/her designate.

Education, Knowledge & Experience:

    Bachelor Degree in Accounting and knowledge of accounting software packages
    Or, Diploma in Accounting with at least 2 years experience in a similar position
    At least two (2) years working in accounts or bookkeeping with a reputable firm or NGO

    Displays bulletins, notices and communications on the office notice board;
    Verifies fuel and lubricant requests for motor vehicle and generators;
    Oversees and monitors the proper use and maintenance of office facilities and equipment, and ensures availability of required consumable supplies and timely repairs of equipment;
    Assists in supervising the guard/gardeners, housekeepers, office assistants and drivers, and ensures that they carry out their duties in accordance with their respective schedules; and
    Performs any other relevant duties that may be assigned from time to time by Administrative Officer or his/her designate.

Education, Knowledge & Experience:

    A good Diploma  with bias in general office administration and customer care
    At least 2 years working experience in a related environment. Experience with working in an NGO will be an added advantage
    Possess good writing skills and proficient computer knowledge
    Effective communication and interpersonal skills
    Time management skills

General Position Summary:

Essential Job functions:

    Supervises the receipt and release of project materials to/from the stores, and ensure both operations are clearly recorded;
    Maintains and regularly updates all stock ledger books for proper stock control;
    Ensures that stores are clean and tidy and that items are safely stacked and arranged in an orderly manner for easy verification;
    Prepares and submits periodic reports as instructed by the Administrative Officer;
    Ensures that all requests and releases are supported by stores requisition forms duly authorized by the Project Manager and the Administrative Officer, or his/her designate;
    Supervises the loading and off-loading of stores items;
    Ensures that all items in the stores have bin cards, and that all items received or released are recorded to their respective bin cards as they are received or released in line with LWF stores standard procedures;
    Reports any discrepancies, damages and/or losses, obsolete items, or other anomalies of items in the stores to the Administrative Officer or his/her designate promptly upon discovery;
    Ensures safety and security of stores keys in his/her custody, and hands them over to the Administrative Officer as and when required; and
    Performs any other duties that may be assigned from time to time by the Administrative Officer, the Project Manager, or his/her designate.

    Post A-level Diploma in business studies or stores management is essential.
    Computer literacy and knowledge of stores management software package(s)
